\subsection*{Purpose}

This memo outlines significant updates to Silverline Analytics' remote work policy and announces the consolidation of our Denver and Boulder office spaces into a single, redesigned headquarters facility. These changes are the result of the six-month Workplace Strategy Initiative led by the Operations and People teams, incorporating feedback from the company-wide employee survey conducted in November 2025 (83\% participation rate).

\subsection*{Background}

Since adopting a hybrid work model in 2022, Silverline has seen average office utilization decline from 72\% to 38\% across both locations. Simultaneously, employee satisfaction surveys consistently show that 78\% of staff prefer working remotely three or more days per week, and 91\% rate schedule flexibility as their top workplace priority. The current two-office footprint of 48,000 square feet significantly exceeds our needs, resulting in approximately \$1.4 million in annual excess real estate costs.

\subsection*{Policy Changes}

Effective March 1, 2026, the following updates will take effect:

  \item \textbf{Flexible Hybrid Model:} Employees may work remotely up to four days per week. Each team will designate one mandatory in-office collaboration day per week, to be determined by the team lead in consultation with their department head. The current Tuesday/Thursday in-office requirement is discontinued.

  \item \textbf{Core Hours:} All employees are expected to be available during core collaboration hours of 10:00 AM to 2:00 PM Mountain Time, regardless of work location. Outside of core hours, employees may adjust their schedules in coordination with their managers.

  \item \textbf{Office Consolidation:} The Boulder office at 1800 Pearl Street will close permanently on April 30, 2026. All operations will consolidate into a renovated space at our Denver headquarters, 1650 Wazee Street. The Denver office is being redesigned to feature:

    \item Bookable collaboration zones replacing assigned desks (hot-desking model)
    \item Six new video-equipped conference rooms optimized for hybrid meetings
    \item Quiet focus rooms for individual deep work
    \item An expanded cafe and social space

  \item \textbf{Home Office Stipend:} A one-time \$750 home office setup stipend will be provided to all full-time employees who have not previously received one, along with an ongoing monthly stipend of \$100 for internet and utilities. Submit requests through the HR portal by March 15.

  \item \textbf{Travel Reimbursement:} Employees currently based at the Boulder office who will need to commute to Denver for in-office days may submit RTD transit pass costs for reimbursement during a six-month transition period (March--August 2026).

\subsection*{Questions and Support}

An FAQ document addressing common questions will be distributed by February 18. Two town hall sessions are scheduled for February 20 (10:00 AM) and February 21 (2:00 PM) for live Q\&A with the Operations and People teams. Department heads are encouraged to attend at least one session.
