§3

Everything a researcher needs between the question and the submission

Every item below is included on institutional plans. Nothing here is a separate licence or a credit top-up.

Writing and submission

Agentic LaTeX editor
Write in plain language or raw LaTeX. Errors are explained in English and fixed in one click.
Rich text mode
Staff who do not write LaTeX type like a Word document. Bibby produces the LaTeX underneath.
500+ venue templates
IEEE, Nature, Elsevier, ACM, APA and institutional thesis classes, with margins and bibliography preset.
Equation from image
Photograph a board or a printed equation and get usable LaTeX, including matrices and piecewise cases.

Literature and citation

Citation search
One search across arXiv, PubMed, bioRxiv, Crossref, OpenAlex, Semantic Scholar and USPTO, inserted as verified BibTeX.
Deep research
Multi-step synthesis with a citation trail behind every claim, not a summary without sources.
Reference manager sync
Two-way with Zotero, EndNote, Mendeley and ORCID. Existing libraries come across.
paperclub
Shared annotation for journal clubs and reading groups, on any PDF or arXiv link.

Figures and output

Academic figures
Publication-grade schematics and concept figures, inserted straight into the paper.
AlphaFold viewer
Search a protein, rotate the predicted structure, drop the figure into the manuscript.
Posters and slides
Conference posters and talks generated from the paper you already wrote.
Format conversion
LaTeX to Word and back, PDF to LaTeX, CSV to tables, for co-authors and journals that insist.

Teaching and supervision

Self-paced LaTeX course
Interactive lessons so first-year postgraduates stop burning supervision time on build errors.
Shared lab workspaces
Supervisors comment and review inline instead of emailing PDFs back and forth.
Conference deadline tracker
Live countdowns across computer science, neuroscience, physics and mathematics venues.
Academic lab websites
Generate a lab site with people, publications and research areas, exported as a single file you host.

Built to clear a university security review

The questions research IT, the DPO and the library ask, answered before you have to ask them.

SOC 2 Type II

Independently audited controls covering access, change management and monitoring. Report available under NDA during procurement.

ISO 27001 aligned infrastructure

Hosting and subprocessors run on ISO 27001 certified infrastructure. The full subprocessor list is published in the Trust Center.

Your manuscripts never train a model

Unpublished work is not used for training, by us or by any subprocessor. AI calls run under zero-retention, no-training terms.

SAML single sign-on

Shibboleth and SAML 2.0 through eduGAIN and the UK Access Management Federation, so people sign in with institutional credentials.

GDPR and UK GDPR

Data processing agreement, named subprocessors, documented retention, and deletion on request. EU and UK data residency available.

Encryption and access control

AES-256 at rest and in transit. Keys are scoped per account and staff cannot read project contents in normal operation.

§5

From first call to campus launch

Most institutions get from a scoping call to a live pilot inside three weeks. Procurement is usually the long pole, not the technology.

  1. 01

    Scoping call

Thirty minutes on who needs it, how many seats, and which systems you need it to sit behind.

  2. 02

    Pilot

A department or a postgraduate cohort runs on Bibby for four weeks. You get usage data at the end of it.

  3. 03

    Procurement pack

Security questionnaire, DPA, accessibility statement, subprocessor list and a quotation on your paper.

  4. 04

    SSO connection

We register against your identity provider through eduGAIN or the UK federation and test with real accounts.

  5. 05

    Launch

Library guide, onboarding webinar and a migration session for people bringing Overleaf projects across.

§6

Institutions using Bibby

Researchers from more than 500 institutions across 50 countries write in Bibby. Listed below are the ones we are able to name publicly.

Listing an institution means researchers there have accounts with us. It does not imply an institutional subscription or an endorsement. Named partners link to their own page. Browse all university partner pages. If you are at one of these and want a departmental licence, book a call.

§7

Questions procurement asks

If something is missing here, ask us and we will add it.

How much does Bibby cost for a university?

Department licences are $16 per seat per month, Faculty $15, and Campus $14, before volume discounts. Agreements of 25 seats or more take 15% off that price, 100 or more take 25%, and 500 or more take 35%. Past 500 seats most institutions move to a flat site licence instead of per-seat pricing.

Can we migrate our existing Overleaf projects?

Yes. Download a project from Overleaf as a ZIP of its source files and upload it to Bibby. Your .tex files, bibliographies, figures and custom style files come with you. Occasionally a custom .sty path or a package Overleaf preloaded needs a one-line fix on first compile. We run a migration session as part of launch for institutions moving a whole department.

Does Bibby support institutional single sign-on?

Yes. Bibby supports SAML 2.0 and Shibboleth, and is registered through eduGAIN and the UK Access Management Federation, so staff and students sign in with their existing institutional credentials. User provisioning and custom roles are included on Faculty and Campus plans.

Is unpublished research used to train AI models?

No. Manuscripts are never used to train our models or any third party's. When an AI feature runs, only the text needed for that request is sent to the model provider, under zero-retention and no-training contractual terms. The current subprocessor list is published in the Trust Center.

What do you provide for a security review?

A SOC 2 Type II report under NDA, a completed security questionnaire, a data processing agreement, the subprocessor list, our accessibility statement, and documentation of encryption, retention and deletion practice. Most reviews complete inside two weeks.

Can people who do not know LaTeX use it?

Yes. Rich text mode lets someone write as they would in Word while Bibby produces correct LaTeX underneath. This matters for clinical, policy and humanities departments where co-authors will not learn LaTeX for one paper. Documents can also be exported to Word for collaborators outside the institution.

Do you invoice in local currency and against a purchase order?

Yes. We invoice against a purchase order, support annual and multi-year terms, and can bill in GBP, EUR, USD and INR. For Indian institutions we can supply a Proprietary Article Certificate and GST-compliant invoicing.

What happens to our documents if the subscription ends?

Everything stays exportable as standard LaTeX at any point during the term. After the end of a subscription, data remains accessible for 30 days so people can download it, then it is permanently deleted. Immediate deletion can be requested instead.

Start with one department.

A four-week pilot with a lab or a postgraduate cohort costs nothing and gives you real usage data to take to procurement. We will handle the security questionnaire while it runs.
